What This Job is About:

The Senior Producer – Events & Festivals works within the Operations Department managing the day-to-day operations of the department and the team which focuses on events, festivals and marketing activations for a wide range of clients. This role must work closely with all departments including Account Services, Strategy, Creative, Finance, and Talent/Staffing. The Senior Producer – Events & Festivals manages the team that produces and maintains all assets that are utilized in our events, festivals and tours ranging from vehicles and electronics to banners, signage, and fabricated assets. The role includes oversite in venue/site management, resourcing, logistics, budgeting, managing staff, and coordinating technical and production requirements. 
 
The ideal candidate for this role has a strong passion and aptitude in live events and festivals, experiential marketing campaigns, venue management plus vehicle and mechanical structures. Success in this role requires proficiency in managing a team who has success in event operations, catering, product launches, stunts, tradeshow campaigns, or on-premises sampling campaigns. This person must enjoy and have a strong ability to think on their feet, troubleshoot quickly, and be able to always solve problems to the satisfaction of the client. This position also requires being highly organized in event and logistics management and building long-lasting relationships with both clients and vendors. In addition, this position requires: 
 
  • Proficiency in strategy and creative brainstorming and clearly translating creative ideas into detailed activation plans. 
  • Clearly translate creative ‘Production/Ops Briefs” ideas into detailed activation plans with multiple budget and vendor options. 
  • Develop & manage production schedules, run-of-shows, project related production documents, and organization of pertinent information including ramp up, ramp down, asset inventory with photos. 
  • Negotiate contracts and fees, manage bidding and estimates, abide by company billing and invoicing terms, and policies; clearly communicate any scope changes that affect budget. 
  • Work cross-functionally (internally and externally) collaborating with Partner Services and Creative to ensure all deliverables and deadlines are identified, managed, and met including budgets and invoicing. 
  • Collaborate with other teams on project management platform, Asana. 
  • Supervise production and fabrication of program elements, safeguarding quality control. 
  • Manage tour logistics, transport & shipping, loading & unloading, securing and maintaining vehicles & trailers, DOT compliance and reporting, asset inventory, ramp up & ramp down, storage & warehousing. 
  • Provide event direction for onsite activations including labor staff, vendor main point of contact, procuring required equipment, schedule load-in/out, oversee set-up & strike, logistics, warehousing, wrap-up & debrief. 
  • Work with Business Development on operational insights, solutions, and budgets.  
  • Proactively troubleshooting solutions and flagging operational concerns during existing and BD programs. 
  • Demonstrate leadership on programs and oversee the day-to-day management of operational functions and teams on assigned programs and operational tasks. 
  • Managing teams assigned work, meeting all team deadlines specifically timesheets, POs/invoices, Abacus expenses.  
  • Serve as the onsite operational lead. 
  • Support Department Head(s) and Senior Leadership in refining company processes, pipelining and responding to business development opportunities, and fostering a safe and inclusive company culture.  
  • Responsible for the professional development of direct reports and program teams.  
  • Oversees multiple programs (3-5) and teams across a variety of accounts at once. Ultimately responsible for ensuring program timelines, budgets, and success metrics are met. Responsible for promptly flagging issues and roadblocks to Department Head(s) with proposed solutions.  
  • Leads recurring Department meetings and training as needed.  
  • Responsible for laddering up personnel and resourcing concerns to Department Head with recommended solutions.  
 
 
What You’re All About:
  • 7-10 years of experience in events or experiential marketing, preferably in a production, logistics, or field role with extensive experience managing multi-day festivals
  • Manage strategy and creative brainstorming; understand and clearly translate creative ideas into detailed activation plans
  • Superior attention to detail, organization, and time management skills including the ability to manage multiple projects and deadlines at once.
  • Lead development of production schedules, run of shows, project related production documents, and organization of pertinent information
  • Source vendors, negotiate contracts and fees, manage bidding and estimates, abide by company billing and invoicing terms, and policies; clearly communicate any scope changes that affect budget
  • Work cross-functionally (internally and externally) to ensure all deliverables and deadlines are identified, managed, and met
  • Supervise production and fabrication of program elements, safeguarding quality control
  • Participate and advise on tour routing and logistics, transport & shipping, loading & unloading, securing and maintaining vehicles & trailers, DOT compliance and reporting, inventory, storage & warehousing
  • Provide onsite event management, including direction of staff, vendor main point of contact, procuring required equipment, schedule load-in/out, oversee set-up & strike, logistics, warehousing, wrap-up & debrief
  • Mechanical knowledge in both vehicles and fabrication
  • Has a growth mindset, seeking to improve process, projects, the team and outcomes
  • Experience utilizing project management software systems preferred
  • Ability to use hand tools as well as power tools to help repair/create assets.
  • Basic knowledge in OSHA compliance.
  • General computer skills and working knowledge in Microsoft Office suite. Experience with Asana project management software is a bonus.
  • Ability to travel approximately 30-40% of your time at RedPeg.
  • Working with the key account team members, create program budgets and manage the revenue throughout client programs
  • Ensure budget and PO systems are up-to-date on your assigned programs
